Harmony for Therapists Privacy Notice

1. What this notice covers
This notice explains how Harmony handles information from people who create or use a Harmony professional account. It supplements Harmony's consumer Privacy Policy and Consumer Health Data Privacy Policy.
This notice describes Harmony's practices. It does not replace the privacy notices, consent forms, recordkeeping rules, or professional duties that apply to a therapist's own practice.
2. Information we collect
- Account and contact information: your name, verified email address, account identifier, and authentication records.
- Professional information: practice name, credentials, license numbers and jurisdictions, intended uses, requested code, account status, and license-check history.
- Acceptance and security records: the terms version you accepted, timestamps, browser or device details, security logs, and portal audit events.
- Client-authorized information: a connected client's identity, the Harmony areas and time period they choose to share, permitted records, your questions and Harmony's answers, and professional guidance you add with permission.
- Support information: messages and other information you send when asking for help or requesting a correction.
Entering a professional's Harmony code does not identify a person to that professional. A person becomes visible by name only after choosing to connect inside Harmony.
3. Where information comes from
We receive information from you, from your use of the portal, from public professional licensing sources and credential-verification providers used to check licenses, from clients who choose to connect and share, and from service providers that operate authentication, hosting, security, support, and AI features.
4. How we use information
- create a professional account and check submitted license information;
- create, secure, and support a therapist portal account;
- operate client connections and enforce each client's current choices;
- answer professional questions using only the Harmony records the client currently permits;
- store and use authorized recommendations or exercises in Harmony;
- prevent misuse, investigate security events, and keep an access history; and
- meet legal obligations and resolve support or account issues.
5. Client choice and AI processing
Clients choose whether to connect, which Harmony areas a professional may use, and how far back access reaches. They can change or remove access at any time. Removing access prevents those records from being used in future professional views or AI answers.
When a professional asks Harmony a question, Harmony sends only the permitted material needed to answer it to its AI providers. Couple guidance requires the permissions shown in Harmony. Current providers and their roles are listed on our subprocessor page.
6. When we disclose information
We disclose information only as reasonably needed to providers that run authentication, database hosting, website hosting, email delivery, security, support, and AI processing; when a person directs us to share it; when law requires it; or when needed to protect people, rights, and the service. Providers may use information only for their contracted work and legal duties.
We do not sell therapist portal information or share it for cross-context behavioral advertising. Marketing and advertising pixels do not run on the therapist portal.
7. Cookies and browser signals
The portal uses essential cookies to keep you signed in and protect your session. It does not use advertising cookies. Because the portal does not track people across unrelated websites for advertising, browser Do Not Track and Global Privacy Control signals do not change its behavior.
8. Retention
We keep professional account and license-check information while the account is active and afterward only as reasonably needed for security, legal obligations, disputes, and program records. Client permission changes take effect for future access. Limited audit records may remain so Harmony can document that access was granted, used, changed, or removed without retaining intimate content in those logs.
9. Security
Harmony uses passwordless authentication, encrypted transport and storage, access controls, database restrictions, encrypted sensitive content, and audit logs. No online system can guarantee perfect security. Protect the email account used to sign in and report suspected unauthorized access promptly.
10. Your choices and privacy rights
You may ask to access, correct, or delete your therapist portal information. Some records may need to be retained for security, legal, or dispute purposes. Depending on where you live and which laws apply, you may have additional rights to know, correct, delete, obtain, restrict, or object to certain uses of personal information. We do not provide different service because someone exercises a privacy right.
Send a request to privacy@talkharmony.app. We may need to verify that the request belongs to you before acting on it.
11. Changes and contact
We will update the version and effective date when this notice materially changes and will provide additional notice when appropriate.
